Abstracts must provide sufficient information for reviewers to:
Assess the scope of the proposed topic and the data likely to be available at the time of presentation
Determine relevance to the conference audience
Compare submissions with other proposed presentations
Assign accepted abstracts to appropriate sessions
Abstracts must be well written and clearly describe the material proposed for presentation. Submissions with a pronounced commercial or marketing tone will not be accepted.

By July 7, 2026, the corresponding/presenting author for each abstract will be notified by email of the acceptance and placement decision.
If accepted, the notification email will specify:
Assigned session
Presentation format (platform or poster)
Instructions for preparing and submitting the final presentation and any required updated abstract materials prior to the Conference
By submitting an abstract, presenters agree to submit their final presentation by the deadline specified in the acceptance notification. Timely submission of presentations is required out of respect for fellow speakers and to support a well-organized conference program.
All presentations are uploaded in advance to the computers in the rooms where they will be presented. This allows the AV team sufficient time to test functionality, confirm proper formatting and display, and organize content to ensure seamless transitions between speakers, sessions, and announcements. In addition, timely submission is required to support AVIP’s submission of presentation materials for Continuing Legal Education (CLE) accreditation review and approval. Adhering to the presentation submission deadline helps minimize technical issues, avoid delays, and provide a smooth, professional experience for both presenters and attendees.
Financial assistance is not available to support registration or other costs associated with attending the Conference. All presenting authors (platform and poster), session chairs, and panel participants are required to register for the Conference and pay the standard technical program registration fees.
Registration fees are the primary source of funding for the Conference. AVIP is a 501(c)(6) non-profit organization, and this Conference serves as its primary fundraising event in support of advancing the vapor intrusion profession.
The AVIP Conference Committee reserves the right to edit abstract content for length, clarity, and grammatical, punctuation, and capitalization errors. The Committee also reserves the right to decline any abstract that contains excessive promotional or marketing content or does not fit within the technical scope of the Conference.
By submitting an abstract, you confirm that:
The proposed content is original
All necessary permissions (e.g., client approval, copyright) have been obtained
Abstract and presentation content may be included in printed and digital Conference materials, in whole or in part, at the discretion of the AVIP Conference Committee.
In addition, you agree to the following:
AVIP may circulate the proposal among members of the Conference Committee for review
If accepted, AVIP may use the submitted abstract description in Conference materials
AVIP may contact you and any listed authors with information related to the AVIP Conference
If you are not the designated Point of Contact, or if the Point of Contact changes, you will communicate these submission terms to the appropriate individual
If the abstract is accepted and presented, you agree that AVIP may make your presentation materials available to Conference attendees and AVIP members following the Conference, in whole or in part, in a digital format. This sharing is intended solely for educational and professional development purposes. Presenters retain ownership of their materials unless otherwise agreed.
